I'm the new president of Baylor Fencing Club, and it's my job to organize the Adelman! I am thinking about holding it either August 25th, or else Sept. 1, both Saturdays. I am pretty sure there is not another event on those days. Again, I'm kind of new at this, but I would like to begin organizing this ASAP. Could anyone possibly give me some feedback on this? Judges out there: please consider coming to the Adelman! Last year it was huge and we really need more judges! Thanks, Kate Thomas

Traditionally the last Saturday of August is the best and most traditional Veteran's Tournament of the SW section, the Fete de Luna. The date of the tournament is determined by the date of the Clearlake festival. Talk to the guys in this board, particularly vraptor.

August 24-26 (Fri-Sun), 2007 is the scheduled dates for the local Ballunar Festival. Traditionally, the Fete de Lune runs the same weekend.
I believe the Adelman has, for the last couple of years at least, been held on the second weekend of September (not that I am aware of any particular reason to keep it there or not).
I know in the Gulf Coast Division, Labor Day weekend is traditionally the date of the UH Call to Arms tournament. Of course, that is largely a local affair (although it was nice seeing folks from the Spindletop Cavaliers and UTSA last year).

There's probably going to be an SSCC event in there somewhere though. Actually, I see no reason that having the Adelman and either of the two previously mentioned events on the same weekend. They're going to draw completely different groups, and utilize completely different referee and bout committee cadre's.

David is correct that these events will pull from different groups. There is no reason that you can't hold it the same weekend as either the Fete or the UH tournament. Both tournaments will be approximately 30 or 40 epeeists on the same weekend. Some people may have to decide, but that is a great decision instead of not having choices nearby. You have to offer opportunities to fit their schedule or it won't happen.
I did not have any choice, since this is the only USFA weekend that Katy Blades can host a tournament this year. Sorry UT, but I am not sorry about the game last night. Great one.

Several of the referee cadre usually at the Adelman will be running or competing in the Fete.

Thanks for your help everyone, I think I've decided on the 15th of September. I think it may be a little later than normal, but there doesn't seem to be anything going on then. May I ask how I would go about scheduling that with the USFA so that it gets put on calendars like the ones I consulted?

Well, the first thing you need to realize is that Baylor falls within the province of the North Texas Division, which is headquartered in DFW. The Division is the local organizing unit of the USFA, and all local tournaments (with a couple of exceptions, like Sectionals and RYC's) must be sanctioned by the Division. Thats also the Division from which you should be looking to find most of the help with running the event.. The North Texas Division has some very specific protocols for sanctioning. This board, as it is a Gulf Coast board, is not really the appropriate place to discuss those. Send me an email, and I can point you in the right direction (I'm also in the North Texas Division and I run tournaments too).

I've found the Gulf Coast Division officers fairly helpful in getting tournaments run correctly. Dan Are we in the same division? The presumption here in the SoTxDiv is that every tournament is sanctioned by the Division unless we are specifically asked by the tournament organizers to do otherwise.
We rely on the clubs in our Division to schedule tournaments around each other that do not conflict.
I might add that a club a half mile outside your Division has made great efforts in the past not to step on anyone else's tournaments across the border and asked everyone in sight what was open before setting the one tournament a year they hold. The Gulf Coast clubs were responsive and very helpful.
We avoided their tournaments and they avoided ours. That's the way it should work.

Registering on the Section Calendar in advance is a good thing! Everybody else tends to avoid your spot! It doesn't make it official. It DOES make others avoid your spot! *L*
I'd would have figured Baylor would have checked with you by now to get your division's approval. David made that very clear.
I hope that you will help them out. They are collegiate. They reinvent the wheel every few years. Just like SWIFA, they rely on us (you, me, and all the others who have gone before them) to help lead the way.

Kyle [/b][/quote] North Texas Division in general (Ovy and I specifically) have supported the Adelman and Baylor's club for many years - which is why it is so disheartening every time we have to reintroduce ourselves (Amy Hayes made a tournament manual, but it seems to have gotten lost). Ovy and I take the Division "traveling road show" (reels, boxes, etc.) and provide free armorer and bout committee labor. Unfortunately, I have not been able to get a response from Kate, even to my direct email, so I posted here. In North Texas, we all sit around a table in August and determine our tournament dates to prevent schedule conflicts. Then we vote on the schedule. Why August? Because 1) it used to be that the USFA didn't have a schedule until after Summer Nationals, and 2) our coaches are focused on getting their fencers ready for nationals and don't want to think about "next year" yet.... We do make every attempt to accommodate the school clubs, but that includes both university and private schools. Ultimately, the Division is the governing body, not the Section, for tournament dates. The Adelman was a success and a good tourney. It gets bigger and better every year. The Baylor team and their President, Kate Thomas, deserve Kudos! Brenda and Ovy Waddops were indispensable!
I didn't get to fence since I was reffing all day long (My feet HURT!), but I got to watch a lot of good fencing going on.

FencingTime event ratings are out of date (which is a problem with the program, should be fixed in a few months). A1 tournaments do not award B classifications to fencers in 3rd or 4th (or 3T) place. It is now: 1st - A 2nd - B 3-4 C 5-6 D 7-8 E as of the Board Meeting at Summer Nationals. FRED has been modified to catch this and appears to have done so successfully. Also, an email was sent to the competitors noting this fact, which I am very pleased with Baylor for doing. Who were the foil refs? I left after getting my medal for a long overdue lunch, but it looked like many of the referees at the time were going to be fencing later. Congratulations to Kevin Nadeau for taking 1st in one very touch event and 2nd in another on the same day! Now it's time for him to fence some sabre, where he will find getting his A MUCH harder.
