SWIFA # 1 for the 2006-2007 season is Saturday, September 23, 2006 at Texas State University.
As the interim Chair of SWIFA, I am calling a special meeting immediately following the events at SWIFA #1 for the purpose of voting on the proposed By-Laws, election of new officers, adoption of a fee schedule (proposed as being $350.00 per team annually), appointing a committee to draft an operations manual, and setting the schedule for the remaining tournaments for the 2006-2007 season. Other matters may be considered as necessary at this initial meeting of the new SWIFA organization.
We will be adhering as closely as possible to the latest proposed SWIFA By-Laws found here: campechesteel.proboards15.com/index.cgi?board=SWIFA&action=display&thread=1141629335&page=7#1151030349
Any and all suggestions as to other matters to be addressed are welcome.

For the information of the teams, what sort of timeline for the payment of the membership fee are you thinking of?

Be prepared to pay the annual fee of $350.00 per team to be able to compete. This seems to be the most reasonable senario to expect and was approved at the drafting meeting held at my office. (See Scenario #2 on the SWIFA Accounting link on the website: www.swifa.net/) We expect it to be approved officially at the meeting. If for some reason this amount is not approved, then you'll get a partial refund.

O.K., We are now a fully functional organization! Finally! We have rules (the By-Laws), we have a Employer's ID number (kinda like a real person's Social Security number), which makes us "real" in the eyes of the law (Thanks to Aaron Clements @ Texas Tech), and we now have a bank account at Wells Fargo Bank. Damaris Dotson and I spent the afternoon there getting this going, and I put up the $100 seed money to set up the account. The proposed By-Laws are our governing rules for now. They can be changed, but that is what we have for right now. Everything else is up in the air until we have a formal meeting at the first SWIFA on September 23 in San Marcos. I (as your Interim President) have called a formal meeting at that time (following the fencing). Everything is on the table then. Especially, I'd like to point out, the list of member clubs. This was based on historic member clubs so we could get a majority to "buy in" to the proposal. Every other team/group that meets the qualifications is more than welcome to participate in SWIFA! ANY club that otherwise meets our rules and wants to step up to the plate is welcome to come play. Bring a check for $350 made out to the "Southwest Intercollegiate Fencing Association". Do we have a Ops Manual? If not, would you like Aaron and myself to begin the preliminary work on it so we can at least have something in writing for the first tourney?

Yes we can i was gonna get someone to do it that knows how in my club but i guess i should learn how. I was thinking of using it to only allow teams to register that have paid the membership fee. But Im starting to think that we should just let it be for everyteam. Also the Idea behind it was to get other people that look at askfred to see that there is a college circuit. Advertizment reasons.

I've got a Bout Committee membership, but I think that it sould be uploaded by someone that is on the LOC.
As far as the registrations, I think that it should be open to everyone and we can accept payments at the venue.
Question: will the events just be team events or was the LOC planning on having individual events on Sunday?

OH NO, IF EVERYONE PAID AT THE VENUE THAT WOULD BE A BAD!!!!!!!!!! THERE WOULD BE NO MONEY IN THE ACCOUT TO PAY THE REFS OR THE CLUB HOSTING. PAYMENT IS DEFINANTY DUE BEFORE THE TOURNEMENT.

No individual events just a plain old regular SWIFA but hopfully run better. The BOBCAT tournement is the week before. And I thought that it should be the responsiblity of the club hosting the swifa to put up on askfred.

I guess I could write hot cheques to everyone but I DONTWANNA do that. thats kinda scarry. I for one have never written a cheque overwhat was currently in my account eventhought i know people do it all the time and then put money in the account afterwards. BUT I THINK I DONT WANNA DO THAT. That just gives me an uneasy feeling. Is that what you were thinking we were gonna do Jay?

I guess that makes sense. I didn't really think that far. I had NO intention of SWIFA writing checks that can't be cashed. I just wasn't thinking.
Of course, if the bank is in town, as soon as registration is closed, someone can run to the bank and deposit the checks.
I guess my concern is teams whose rec center (or whoever is in charge of funds) won't want to write them a $350 check right away.

That is why i sent all the rec centers and people i could find, a notice that they will be due, and then after that a notice that it is ( 350 ) due the day after we got a tax id and a bank account. I got an email from someone that works in the rec at UTSA that there on it. Im gonna make sure we are on it. If i can get 3 teams to pay it ahead of time SWIFA #1 wont have any trouble. Oh and I would not beable to deposit the cheques the day of the tournement because I will be fencing. and I think were only alowing the pres and the tresurer to deal with money.... I think.....
All I plan to do during the tournement is write cheques to the refs and school hosting and mabye take some and fence.
Heeee hee hee....... and then....... the drinking/partying starts..... oh of course after the strips are torn down...

Dont know? What do you think? I think we need to go easy on people that dont have it together on time. But that has the potental to destroy the organization if everyone is a slacker.

I'd say they should mail it to you so you have it a week before the meet if at all possible. You could make a special exception if they let you know of a problem in advance. What mailing address and contact info can you give everyone, Damaris?
I know you'll be fencing so, if it's absolutely necessary, I can probably break away from the tourney to deposit a check somebody personally brought to the meet. Don't want to make that a habit, but for the first event under the new rules, we can make a few allowances.

I agree. Everyone needs to have it in as early as possible, but special circumstances can be negotiated. (Hostages will be shot, though.)
I will only be there to referee and help out, so if y'all need anything, please don't hesitate to ask.
BTW, Kyle, Amy e-mailed me today asking if I could ref the Bobcat Open. I have already agreed to referee the New Mexico Open that same weekend. I can be there to ref SWIFA, though! I already e-mailed her back letting her know my availability.

UNT says they will probably have to bring their check because it just takes that long to process one.
