A request I received in my email, as an official request of the Gulf Coast Division leadership
Mr. Trojanowski, I hereby request the following documents for my review on or before the 25th of October. ----- All division financial records for the years 1998-1999,1999-2000,2000-2001,2001-2002,2002-2003 and currently to the 25th of October. I request copies of all the division treasurers reports, bank statements which should include deposits and withdrawals, all division receipts of purchases, all documents of losses and reports of such losses, all items no longer accountable due to theft, all official reports related to missing equipment or funds, all reports of financial status to the USFA and all minutes of division meetings at which the treasurer reviewed the financial status of the division. In addition, I request copies of the minutes of all division meetings for the above mentioned years and the vote on the acceptance of those minutes with the documentation of the members present at each meeting. A copy of this request letter shall be fowarded to the the USFA, the southwest section board and all interested club owners or chairpersons so that they too can review such documents..

Probably not. When special meetings are called, their agenda is supposed to be what's publicized. That wasn't on the schedule. I'd expect that those reports would be covered at the general membership meeting at the end of the year like the by-laws say they should be.

I'm not so worked up over it.
They likely have details of the last couple of years.
I heard they got money from the USFA for the two Division strips. The USFA probably would want some basic financial info (if it was a grant or the annual membership rebate).
The older stuff?
I'm sure that was lost, strayed or thrown away years ago. I haven't seen too much to convince me anyone around here is keeping good records... or even keeping records...

Actually, the new officers have managed to straighten out a lot of stuff as far as the financial stuff goes. The USFA has been holding money for the division because they weren't accepting old financial reports from when I was an officer. I never really understood why, we gave them all the info we had, but oh well -- it's fixed now.

So, are there, like, books or folders or diskettes that are passed from one year's officers to the next? A sort of formal changing of the guard?

I had old stuff on Microsoft Money that I passed along, along with most of the actual bank statements. I'm sure it's all still there -- there's never been a whole lot of activity to track.

Dan mentioned a few posts above that he doubted that the financial request would be dealt with because it was not on the agenda.
I do note, however, that in Division Chair Andrey Geva's call for a meeting, he wrote:
It has come to my attention that there are some misunderstandings regarding the division's policies and how they have been carried out. I would like to call a general membership meeting in order to clear up these misunderstandings as well as allow the membership to bring any other questions they may have to me at that time.
"Any other questions," reads pretty open-ended to me.

Dan Dan: I'm still trying to track down a lot of the old stuff and get it organized. Can you recall to whom you passed that diskette on to?

As to the request which started this thread, I received the document below as email shortly afterward. I waited until now in case it was ammended. Since it has not, I post it now as a kind of reply:
To: Executive Committee of the Gulf Coast Division From: Andrey Geva, Gulf Coast Division Chairperson
Subject: Policy regarding release of division reports
The By-Laws of our division require us to present certain reports at the general membership meetings at the beginning and end of the season. As I wish to avoid the Executive Committee becoming mired in meeting requests for reports at times other than when the By-Laws clearly provide for, it will be the policy of the committee to refer all requests to the appropriate times. When the reports have been prepared as directed by the By-Laws, they will be published on the division website as well as being presented at the meetings. I feel we have a legal obligation to follow the By-Laws on this matter and anyone who wished to challenge it should do so through legal channels.
This policy covers all reports required of the division and applies to all requests made for these reports at times other than when the By-Laws require them to be presented.
The purpose of this policy is not to hide information, but rather allow the officers of the division to perform their jobs without having to divert their energies to preparing reports continually.
